Chapter Operations

Basic Function

The Colony Development Manager will leverage Phi Psi’s Nine Dimensions of Health (Intellectual, Occupational, Financial, Physical, Environmental, Emotional, Spiritual, Social and Cultural) to enhance and execute critical initiatives that amplify targeted student learning objectives, develop academic, leadership, personal, and social competencies, and focus on improving the overall wellness of the undergraduate members. The Colony Development Manager will also implement programs and activities designed to strengthen engagement of alumni and parents as well as foster strong relationships with stakeholders invested in the chapter and the local alumni association while guiding and advising the chapter on operational functions.

Specific Responsibilities

Academic Programming (25%)

  • Develops and promotes a supportive and educational environment that is conducive to the academic success and personal development of all members, regardless of major or GPA.
  • Works with chapter leadership and in accordance with national standards, to develop chapter and member specific academic achievement objectives and employ a system to routinely track progress to the established objectives.
  • Develops and implements an academic success program that encourages, rewards, and supports members’ academic success.
  • Assists in the recruitment of alumni, university officials and friends of the chapter to serve on scholarship selection committees.
  • Works collaboratively with the chapter’s Faculty Advisor.
  • Collaborates with the services and personnel relevant to the academic and community life success of members, making and accepting referrals as necessary, including, but not limited to, Residence Life, Counseling & Health, Accessibility Services and Police Services.

Leadership & Life Skill Education Programming (30%)

  • Works alongside Fraternity and Foundation staff to create and manage annual programming budget.
  • Coordinates, in concert with chapter leadership, execution of Phi Psi’s online member education and development program, including the new member models, which consist of the history of both Fraternity-Sorority Life and Phi Kappa Psi, risk management practices, how to align one’s values and improve emotional intelligence, what life consists of being a fraternity man, and inclusive practices.
  • Develops, plans, and executes a professional development program offered annually to members that includes topics such as resume development, interviewing, career planning, networking, public speaking, self-branding, and internship/job sourcing.
  • Plans and executes biannual anti-hazing education, prevention, and bystander intervention trainings.
  • Explores and establishes partnerships with the university and community organizations to bring forward through planning and sponsorship, speakers, educational series, and philanthropy opportunities.
  • Ensures the planning and execution of routine community service and philanthropy activities for the chapter and participation by the members.
  • Creates, calendars, and facilitates the execution of an annual joint leadership training retreat with chapter leadership, members, and alumni.
  • Oversees the systems and manages the implementation of a chapter-based undergraduate and alumni mentoring program including fostering and supporting mentor and mentee interactions.
  • Facilitates in-depth chapter-based training and programming sessions, as needed or upon request, working with officers, members, volunteers, and the university to address key topics.
  • Develops and implements educational programming regarding operational best practices, policies, and traditions of the Fraternity, leveraging Phi Psi’s online educational program for officers and committee chairs which educates participants on various leadership types, encourages them to determine which model they most align with, and how to create SMART goals.

Engagement (20%)

  • Assists in the organization and coordination of alumni engagement functions of both the chapter and local alumni.
  • Facilitates activities of the local, geographically based, alumni association; if one does not exist, works to establish one.
  • Works with communications staff to curate alumni and chapter stories, testimonials, and updates for use in online and print alumni and parent communications.
  • Develops, participates in, and contributes to programs and events that serve as outreach to members and parents.
  • Identifies, cultivates, and stewards in creative and meaningful ways alumni and volunteers. Helps current volunteer leadership to identify potential new volunteers and future leadership.
  • Creates and fosters open communications between all stakeholders involved with the chapter including interfacing and building rapport with campus partners.
  • Develops and maintains comprehensive undergraduate and alumni targeted programming and engagement calendar.
    • Attends university Fraternity and Sorority Life council meetings, events, and other university sponsored functions.
    • Serves as primary point of contact between the Fraternity Headquarters, house corporation leadership, undergraduate members, alumni, and university officials.

Operations (25%)

  • Works with the chapter to develop an annual strategic recruitment plan.
  • Implements training for members of the chapter to recruit and retain members who exemplify the ideals of Phi Kappa Psi.
  • Schedules, plans, and hosts campus recruitment events, in concert with the chapter, to engage the student body, and develop relationships with faculty and staff to source potential candidates for membership.
  • Promotes the Fraternity through social media, in-person connections, current campus students, and campus organizations.
    • Assists in chapter development efforts, including leading new officer and advisor trainings.
    • Trains new members on understanding and implementing healthy chapter operations, risk management, recruitment, member education, etc.
  • Provides on-site chapter operational support.
  • Offers recommendations to resolve member inquiries.
  • Provides resources and information to members.
  • Reinforces the Fraternity’s ideals of intellect, morality, spirituality, and loyalty.
Internal Relationships

Reports to the Director of Expansion and works closely with the Scholarship & Grants Program Manager. As a member of the Headquarters team, the Colony Development Manager will regularly interact with other staff members particularly the alumni engagement, chapter operations, and programming teams.

External Relationships

Has routine contact with chapter and regional alumni, donors, volunteers, and undergraduates as well as university officials, faculty, and staff.

  • Degree from an accredited four-year college or university.
  • Knowledge of fraternity and sorority life.
  • Must possess excellent organizational and communication skills.
  • Initiative and independence in carrying out responsibilities.
  • Proficiency in prioritizing and managing multiple, diverse, and on-going projects.
  • Able to communicate effectively and professionally in written and verbal manner.
  • Must possess a high level of energy and a can-do attitude.
  • Collaborative spirit and entrepreneurial approach to work and leadership.
  • Demonstrated success creating and delivering trainings and programs.
  • Must embody creativity, enthusiasm, and willingness to learn.
  • Proven ability to build networks of people who support your vision and work.
  • Able to travel and work on a flexible schedule, including some evening and weekend conference calls, meetings, conferences, etc.
