PHI KAPPA PSI FRATERNITY PRIVACY POLICY

Phi Kappa Psi Fraternity (the “Fraternity”) understands that security and privacy are important issues for members, alumni, volunteers, parents, and other stakeholders (“Users”). This Privacy Policy (the “Policy”) describes how the Fraternity collects, uses, safeguards, and shares information obtained through its websites, applications, programs, and services (collectively, the “Services”).

The Fraternity may modify this Policy at any time. Updates will be posted with a revised effective date. The Fraternity will apply the Policy in effect at the time information was collected unless consent for additional use is obtained or disclosure is required by law.

 

COLLECTION OF INFORMATION

 1. Personal Information

Users may be asked to provide personally identifiable information (“Personal Information”), including but not limited to:  

  • Name, address, phone number, and email address
  • Date of birth and educational information 
  • Membership and chapter affiliation information 
  • Financial and billing information (including payments, dues, or fees) 
  • Emergency contact information 
  • Some Personal Information is required for membership, participation in Fraternity programs, or access to specific Services. Other information may be requested for optional activities or communications. If required information is not provided, membership or access to certain Services may not be possible.

 2. Automatically Collected Information

The Fraternity may collect anonymous or technical information (“Usage Information”), including: 

  • IP address
  • Browser type and device information
  • Pages visited and usage patterns 

This information may be collected through cookies or similar technologies and is used to improve Services.

 

USE OF INFORMATION

The Fraternity uses Personal Information for purposes including: 

  • Administering membership and chapter operations
  • Processing dues, fees, and payments
  • Supporting member services, programming, and events
  • Conducting risk management, health, and safety trainings
  • Investigating and addressing conduct matters and violations of fraternity policies
  • Communicating with members, alumni, and stakeholders
  • Maintaining records and historical data
  • Enforcing compliance with Fraternity policies and legal obligations 

The Fraternity may also use information to improve Services and member experience.

 

SHARING OF INFORMATION

The Fraternity does not sell Personal Information. Information may be shared in the following circumstances: 

  • Service Providers: With third-party vendors performing services on behalf of the Fraternity (e.g., payment processing, data management, insurance administration, or communications platforms) 
  • University and Institutional Partners: When necessary for chapter recognition, conduct reporting, or compliance with host institution policies 
  • Insurance and Legal: With insurers, legal counsel, accountants, or authorities in connection with claims, investigations, or compliance obligations 
  • Internal Governance: With officers, volunteers, and staff with a legitimate need to know in order to perform their responsibilities 
  • Legal Requirements: When required by law, subpoena, or legal process 

All third-party partners are expected to maintain appropriate confidentiality and data protection standards.

 

MEMBER DATA AND RECORDS

The Fraternity maintains membership, chapter, and volunteer records, which may include sensitive or confidential information related to: 

  • Membership status and history 
  • Financial standing 
  • Participation in programs 
  • Conduct or disciplinary matters 

Access to such records is limited to authorized individuals and used solely for Fraternity-related purposes.

 

COMMUNICATIONS AND MESSAGING

The Fraternity may communicate with Users via email, phone, and mobile messaging for operational, programmatic, and engagement purposes.

Consent
By providing contact information, Users consent to receive communications related to Fraternity activities. 

Opt-Out
Users may opt out of non-essential communications (e.g., marketing or general updates) by following unsubscribe instructions or contacting the Fraternity. 

Mobile Messaging 

  • Message frequency may vary 
  • Message and data rates may apply 
  • Users may opt out at any time by replying STOP 
  • Users may request assistance by replying HELP 

Mobile numbers will not be sold or shared for independent third-party marketing purposes.

 

COOKIES AND TRACKING

The Fraternity uses cookies and similar technologies to improve user experience, analyze traffic, and enhance functionality. Users may control cookie settings through their browser; however, disabling cookies may limit functionality.

 

THIRD-PARTY LINKS

Fraternity Services may contain links to third-party websites. The Fraternity is not responsible for the privacy practices or content of those websites. Users should review third-party privacy policies independently.

 

DATA SECURITY

The Fraternity maintains administrative, technical, and physical safeguards to protect Personal Information, including:  

  • Secure servers and controlled access systems
  • Encryption of sensitive financial data
  • Role-based access for staff and volunteers 

Despite these safeguards, no system is completely secure. Users share information at their own risk.

 

DATA RETENTION

The Fraternity retains Personal Information as long as necessary to: 

  • Fulfill operational and membership purposes
  • Comply with fraternity policy, legal, tax, or regulatory requirements
  • Maintain historical and organizational records

 

CHILDREN’S PRIVACY

The Fraternity does not knowingly collect Personal Information from children under the age of 13 in violation of applicable law. Programs involving minors will include appropriate parental or guardian consent where required.

 

RIGHTS AND ACCESS

Users may: 

  • Request access to their Personal Information maintained by the Fraternity, including name, contact information, birthdate, officer positions, and completion of education
  • Request correction or updates
  • Request removal where appropriate and permitted by law or policy

RELATIONSHIP TO FOUNDATION

This Policy applies solely to the Phi Kappa Psi Fraternity and is distinct from the Phi Kappa Psi Foundation, or from any chapter or other legally separate but affiliated entity of the Fraternity. While the Fraternity and Foundation may share certain systems, programs, or data in support of their respective missions, each entity maintains its own privacy policies and governance structures.

This Policy will be periodically reviewed and updated to reflect changes in law, technology, and Fraternity practices.
